Privacy Policy

EverTend is made by Frankie Ventures LLC(“we”, “us”). This policy explains what information the EverTend app and website collect, how we use it, and the choices you have. We wrote it to be read, not skimmed past. If anything is unclear, email us at hello@getevertend.com.

The short version

  • You enter information about the person you care for. That information belongs to your family, and only the family members you invite can see it.
  • We never sell your data, and we do not show ads.
  • A few features send specific pieces of your data to AI providers to transcribe, summarize, or answer questions. We describe exactly which ones below.
  • You can delete your account, and everything tied to it, from inside the app at any time.

Information you give us

Your account. When you sign up we collect your email address and a display name. If you sign in with Apple or Google, we receive the name and email those services share with us. You may add a profile photo.

Your family’s care record. EverTend exists to hold the information a family needs to coordinate care. Depending on what you choose to enter, this can include the name of the person you care for, medications and dose schedules, dose and refill logs, appointment details, tasks and notes, uploaded documents such as insurance letters or lab results, and photos of medication labels.

Appointment recordings. If you use the visit feature, you record audio of a medical appointment on your phone. You are responsible for getting the consent of anyone in the room before recording. We store the recording so it can be transcribed and summarized for your family.

Feedback and waitlist. If you send feedback from the app or join the waitlist on our website, we keep the message and email address you provide.

Information collected automatically

  • Push notification tokens and a small amount of device state, such as how far ahead your phone has scheduled its medication reminders, so our server can send a backup reminder only when your phone cannot.
  • Basic technical logs generated by our hosting provider when the app talks to our servers, such as timestamps and error messages.
  • Subscription status from Apple and our subscription processor, so we know whether your family is on the free plan or EverTend Plus.

EverTend does not currently include third-party advertising or analytics trackers.

Phone permissions

  • Microphone is used only while you are recording an appointment.
  • Camera and photo library are used only when you scan a medication label, upload a document, or set a profile photo.
  • Calendar is used only when you choose to add a task or appointment to your own calendar. We do not read your existing calendar events.
  • Notifications are used for medication reminders, refill reminders, and family activity you have opted into.

How we use your information

  • To run the app: store your family’s record, sync it between family members, and send reminders.
  • To provide the AI features described in the next section.
  • To manage your subscription and respond to your feedback.
  • To keep the service secure and fix problems.

AI features and the providers behind them

Some features send a limited slice of your data to a third-party AI provider. We send only what the feature needs. Under their terms, these providers do not use data sent through their APIs to train their models.

  • Appointment recordings are transcribed by Groq (using the Whisper speech model) and then summarized by Anthropic (using Claude models).
  • Medication labels are read on your phone where possible. The extracted text, or the photo when on-device reading is not available, is sent to Anthropic to fill in the medication details.
  • Documents you upload, whether a PDF or a photo, are sent to Anthropic to extract the text and write a summary.
  • Ask sends your question, the conversation so far, and your family’s care record to Anthropic to produce an answer. The answer is grounded in your own record and is not medical advice.
  • Interaction checks send the names of your medications to two public U.S. government services, the National Library of Medicine’s RxNorm and the FDA’s openFDA label database, to identify their ingredients, and then to Anthropic to summarize what is worth asking a pharmacist about.

Who can see your family’s record

Your care record is shared with the people you invite to your family using an invite code. Every family member can see the record. Family admins can change what each member is able to edit and can remove members. If you belong to more than one family, each family’s record is kept separate and is only visible to that family’s members.

Our servers enforce these boundaries with row-level access rules, so one family cannot read another family’s data even by mistake.

Service providers

We rely on a small number of companies to run EverTend. Each one processes your data only to provide its service to us.

  • Supabase hosts our database, file storage, and authentication.
  • Anthropic and Groq power the AI features described above.
  • Apple processes payments for EverTend Plus and delivers push notifications to your phone. We never see your payment card details.
  • Expo relays our push notifications to Apple.
  • RxNorm and openFDA, the government drug databases described above, receive medication names only.
  • RevenueCat tracks subscription status across your devices.
  • Resend sends our waitlist and account emails.
  • Vercel hosts this website.

We do not sell your personal information, and we do not share it with anyone else except when required by law or to protect the safety of our users.

About health information

Much of what you enter into EverTend is health information about someone you care for. EverTend is a personal organization tool for families. It is not a healthcare provider, and we are not a “covered entity” under HIPAA. We protect this information as described in this policy, but you decide what to enter and who to invite.

Keeping your data safe

Data is encrypted in transit and at rest with our hosting provider. Access inside our systems is scoped to the family that owns each record. No system is perfectly secure, and we will tell you promptly if we learn of a breach that affects you.

How long we keep your data

We keep your family’s record for as long as your family uses EverTend. When you delete your account from Settings, your account and profile are removed. If you were the only member of a family, that family’s entire record, including documents and recordings, is deleted with it. If other members remain, the record stays with them. Tasks you had claimed are released, and your name stays on past entries you logged, such as doses given, so the family’s history remains accurate.

Your choices

  • Edit or delete any entry in your family’s record at any time from the app.
  • Export your family’s whole record from Settings as a file you keep. The export includes every entry, summary, transcript, and extracted document text. It does not include the original audio recordings or document files.
  • Leave a family, or remove a member if you are an admin.
  • Turn reminders off for a family on any phone from Settings.
  • Delete your account entirely from Settings. This cannot be undone.
  • Email us to ask what data we hold about you or to request a copy.

Children

EverTend is intended for adults. We do not knowingly collect information from anyone under 18. Information about a care recipient, who may be any age, is entered by an adult family member.

Changes to this policy

If we make a meaningful change to this policy, we will update the date at the top and let you know in the app before the change takes effect.
